No surprise invoices
Hours are tracked in a simple shared time log you can see, updated at least weekly. You are notified once 80% of your monthly hours are used, before the cap is hit. Then you choose:
Pay for extra hours
Additional hours at $50/hr, the overage rate, intentionally higher than the effective package rate.
Defer non-urgent work
Push the remaining non-urgent items to next month.
Upgrade for the month
Move to the next tier for the rest of the current month, prorated.
Urgent issues come first. A genuine emergency, such as an active overbooking or a payment failure blocking check-ins, is always fixed immediately regardless of hours remaining. Any resulting overage is billed afterward at the same $50/hr rate and disclosed clearly on the next invoice.
You hear it plainly, before any contract
During the PMS Health Audit or the initial website discovery call, I check whether your booking engine offers an embeddable widget or API, whether it is mobile-responsive on its own, and whether your PMS vendor allows any theming. If it can reasonably be styled or embedded, the website work proceeds around it. If it genuinely can’t be customized, you get two options:
A. Keep it, linked cleanly
Your existing booking engine stays, linked through a clean “Book Now” button that opens in a new tab or modal, at no added cost.
B. Migrate to a modern engine
A separately scoped and quoted project, since the cost depends on the PMS involved.
